Information the form collects
The public contact form asks for your name, email address, message topic, message, and confirmation that the club may use those details to respond. Please do not submit passwords, payment information, private member records, or other sensitive information.
How the information is used
The club uses submitted information only to understand the inquiry, route it to an appropriate club representative, respond to the sender, and address related club business. The club does not sell contact-form information.
Where messages go
Messages are delivered to the club’s shared email inbox. The custom form does not create a WordPress submission record or save the name, email address, topic, or message in the WordPress database. Copies may remain in the shared inbox and in the systems used by the website host and email provider.
Spam and security controls
The form uses a hidden bot-check field, a signed timing check, message-length and link limits, and a short-lived submission counter. The counter uses a one-way fingerprint derived from connection and browser information; the custom form does not store the raw IP address in that counter. Ordinary hosting, security, or email systems may keep their own technical logs independently of this form.
Retention and access
Messages are kept only as long as reasonably needed to respond and handle related club business, then deleted unless they are needed for an ongoing matter. Access is limited to club representatives authorized to monitor the shared email inbox.
Questions or corrections
Use the website contact form to ask how a submitted message was handled or to request a reasonable correction or deletion. Because ordinary email can be copied or forwarded, complete removal from every backup or receiving system may not always be possible.
